Navigating The Inventory Sub Menu

How to use and navigate the Inventory Tab and all the submenus within it in Shipedge.

The Inventory page and tab in Shipedge is also a very important place for Vendors as this is where you will go to oversee and keep track of all your product and inventory within the warehouse. You can see the products you currently have, what is running low and any rules and procedures that you create for certain products as well. You can also upload new products into Shipedge using this submenu.

1. Inventory – Link to view all your inventory and products, including any products that may be in route to the warehouse.
2. In Warehouse – Used to see only the inventory and products you have in the warehouse.
3. Oversold – Any SKUs or inventory that you may have oversold (sold more than you currently have on hand, AKA backorder status).
4. SynSets (TM) – A term that is used for products that are similar to other products that can be used in the scenario where one product is not available but an order is made so you replace the original product with its Synset to ship the order out.
5. Procedures – Procedures or rules that you can create for certain products. Such as shipping only up to a certain amount of weight for certain products or grouping certain products together when shipping, etc.
6. Suppliers – Page to keep track of all your suppliers and manufacturers.
7. Upload Products – Upload your products in bulk using a CSV file.


The Inventory Page

This is the Inventory page where you can browse through your inventory in Shipedge. You can see your SKUs, descriptions, UPC numbers and the quantity available in the Warehouse, where they get distributed from and the supplier for each product among other things. You have a menu at the top of the page with a few different options sort of like you do on the Orders page. They do the following:

1. Add SKU – Used to add new inventory/SKU to your inventory list.
2. Export Products – Export current products/inventory in Shipedge in CSV format.
3. Import Products – Import new inventory/SKU in bulk to your inventory list.
4. Procedures – Links you to the procedures page in Shipedge.
5. Edit Attributes – Allows you to edit multiple SKU attributes in bulk.
6. Suppliers – Page where you can add or edit your suppliers.
7. Stagnated – Lists any inventory which has been stagnated for a certain period (Example: 45 days).
8. SynSets – Links you to the SynSets page in Shipedge.
9. Alternatives – Links you to the Alternative SKU page in Shipedge.
10. Distribution Centers – Lists all distribution centers that your account uses.

Under the top menu you have a filter like many other tables within Shipedge which you can use to narrow down your inventory in the table below. The Inventory table is organized in the following fashion:

11. SKU – The SKU number of the product.
12. UPC – The UPC number that the product may have.
13. Description – A short description of the product.
14. In Warehouse – The quantity of the product that is in the warehouse.
15. Available – The available quantity of the product that is in the warehouse (Example: If there are 40 available quantity of SKU A but there are 80 in the warehouse then that means that there are 40 that are on hold or in current processing/pending orders).
16. Distribution Center – The distribution center/warehouse location of that SKU/product.
17. Supplier – The supplier that supplies that SKU/product.
18. Weight – The weight of the individual SKUs/products.
19. In Transit – The quantity of that product that are currently in transit to the warehouse from the supplier.
20. ETA – The estimated time of arrival for the in transit products.
21. Action Column – A column where you can commit certain actions to each SKU such as editing the SKU attributes, Printing barcodes for that SKU or opening a picture of that SKU.
22. History Column – You can click on the History link to view a history of that SKU. For the first row, HURT_252, there is no History link, only a view link (to view the products in that item_location), since that is a special SKU that is used for hurt/damaged products.


 

Add SKU Page

The Add SKU page is a very straight forward page where you can manually add in SKUs to your inventory list in Shipedge. Shipedge walks you through the process step by step and you must just fill in the required information for the SKU you wish to add. Required fields are marked with a red * beside their name and their data types are listed in red text to the right of the text box. After filling in the correct information for your new SKU you just click the Add button at the bottom to finish. It is recommended that you read the Product Data Requirement box at the bottom of this page to get familiar with the requirements and procedures required for SKUs within Shipedge and to avoid and possible errors or issues.

The options and attributes on this page are very simple to go through and are as follows:

1. SKU* – The SKU number that you wish to give to this product.
2. UPC – The UPC code that belongs to this product, if any.
3. Description* – A short description of the product.
4. Weight* – The weight in pounds of the product unit.
5. Length* – The length in inches of the product unit.
6. Height* – The height in inches of the product unit.
7. Width* – The width in inches of the product unit.
8. Declared Value (Retail Price)* – The declared value or retail price in dollars of the product unit.
9. Distribution Center – The distribution center that the product is stored in and shipped out of. This is a dropdown menu of the different warehouses in the network of your fulfillment company.
10. Supplier – The supplier that the product is associated with.
11. Cost* – The cost to you in dollars of the product unit.
12. Add Button – Click on the Add button at the bottom after you are done filling in the information of your new SKU.


 

SKU Details Page

This is an example of what each SKU looks like when you click on the edit button on the Inventory page. You can edit the attributes of each SKU by going through this page and clicking on the Save button at the bottom. There are important Product Data Requirements at the bottom that should be read before editing and SKU information. Also required values have a red * beside their name. The data type that is required for each value is listed in red to the right of the text box. This page looks exactly like the Add SKU page except that the button at the bottom says Save instead of Add and the values within the attributes table are pre-populated.


 

Suppliers Page

The Suppliers page is used to view all the different suppliers that a vendor may use to supply their inventory.

1. Go Back – Return to the previous page.
2. Add Supplier – Used to create a new supplier.
3. Update Tracking Numbers – Update any tracking numbers you have for this shipping
4. Supplier ID – The identification number given to the supplier.
5. Supplier Nickname – The name of the supplier.
6. Special Instructions – Any special instructions or directions that pertain to that supplier.
7. Country – The location country of the supplier.
8. Zip code – The zip code of the location of the supplier.
9. Processing Time (In Days) – The amount of days it takes for the inventory to be processed from that supplier (shipping, etc.).
10. Stocking Time (In Days) – The amount of days it takes to stock the inventory from that supplier in the warehouse.
11. DropShipper Code – A dropship code if applicable for that supplier
12. Supplier Email – The email address for the main point of contact of the supplier.
13. Inline Edit/SKUs – Edit the SKUs associated with that specific supplier. Also lists the quantity of SKUs that come from that supplier.


 

Upload Products Page .CSV

The Upload Products page in the inventory tab in Shipedge is very important since this is where you will be able to upload your SKUs and inventory information in bulk by uploading simple CSV (comma separated values) files with the correct information. To upload a CSV file with your SKU information all you need to do is follow four easy steps and Shipedge takes care of the rest of the work for you. It is very important that you read through the Explanation section that is provided on this page so that you avoid any errors or issues.

To upload a CSV file you must do the following steps:

1. Download a Template – There are three basic templates that are provided, the first on the left is the Standard template, the second and middle one is the Extended template which provides extra columns for more in depth information and the last template on the right is the Simple template with the least amount of columns and only requires the bare minimum of information. You decide which one you want or download all three and see which one best fits your personal needs.
2. Choose The CSV File – You must click on the Choose File button to browse your computer to find the CSV file that you wish to upload after you have populated the template CSV file with the information required of all the SKUs that you wish to upload to Shipedge.
3. Update SKU data if already in Shipedge – This checkbox is provided for you so that incase you wish to overwrite current SKUs that are already in the Shipedge system in the event that you have new information about the SKU that you wish to update by selecting this checkbox the system will overwrite any SKUs with the same SKU within the uploaded CSV file and replace the old SKU in Shipedge with the new information provided in the new CSV file.
4. Add – Finally all you have to do is click on the Add button and Shipedge will do the rest for you. The process may take a few seconds to a few minutes depending on the size of the CSV file you are uploading but rest assured that Shipedge will handle the entire process completely for you and when it is complete all your new SKUs will be listed and shown in Shipedge.

Before you start uploading and filling in the information required on the CSV template it is recommended that you read through both the explanation box and the information in the table below which provide a description of the headers and their respective description.

5. Required Headers – This table lists the different headers and a description of each one. Read these carefully to understand exactly what their functionalities are. The required ones have an * beside their name.
6. Data Types – The type of data that can be put into the different headers. The required ones have an * beside their name.
