How to Process a Replenishment with Lot, Expiration, and Units of Measure in Shipedge

This is how you can receive a replenishment with units of measure, expiration dates, or lot numbers using the online Shipedge portal.

Receiving the Replenishment

1. Navigate to the Replenishments Tab

You can navigate to the replenishments tab by going to Inventory>Replenishment

2. Find the Seller Account

In the drop down menu you can filter and search by the OMS account. Once you select the relevant account, click “Search”.

3. Find the Replenishment ID

Once you’ve filtered by account, scroll down and find the replenishment ID that you are looking for. It will likely show a status of “In Transit”.

4. Download the Replenishment

On this screen you will be able to see the information that the seller has uploaded. In this example you will see that the seller has included the Lot#, Expiration Date, and Unit of Measure (UOM) for two items. The third item only includes UOM.

If the seller has not uploaded the information, then you can still follow this same process. You will receive a slightly different result, but we will go over that a bit later.

Press the download button and you will see that the CSV is named after the Replenishment ID.

5. Open the CSV

Find your CSV and open the document. We recommend using Open Office for this CSV because it allows you to separate by tab, semi colon, and comma. You can, of course, use Numbers or Excel if you do not have Open Office.

6. Fill in the Quantity

When you open this CSV you will see what replenishment information is filled in. In this case, I need to look at how many units I am supposed to be receiving.

I will navigate back to the Shipedge portal and see that I am receiving 300 units in cases of 12, 200 units in cases of 10, and 100 units in cases of 5. We will add this information to our document.

7. Fill in the Bin Number

We still need to fill in the bin number. If the SKU does not already have a place in your warehouse, then you will need to find a free bin. First, navigate to the Warehouse tab by going to Inventory > Warehouse.

On the Warehouse tab, you can scroll down to see all of your bins. You may need to navigate to another page of records. In this case, we went to page six and found four empty bins.

We will now copy and paste these bin numbers into the CSV. You may note that the first two items have the same SKU, but because they have different Lot, Expiration, and UOM, they will go to separate locations. The third SKU does not have Lot or Expiration, only UOM. This is fine, so long as all of the necessary information is in the CSV then you are good. Save the file and keep the current format.

8. Upload the Updated CSV

You can easily upload the CSV by clicking “Upload” and then finding and uploading the document you just edited.

9. Find Your Replenishment

You can find your replenishment in the same manner as before. Navigate to the Replenishments tab, filter by account, and then scroll down to find the Replenishment ID. You can also just search using the Replenishment ID. You may see that the status of the replenishment says “Busy”. This just means that the system is taking some time to read the CSV.

After a few minutes, refresh the page and you should see that the replenishment is now “Processing”.

10. Finalize the Replenishment

If you’ve done everything correct, when you click on the replenishment ID you will be directed to this screen. If you see a link that reads, “Download Success Report”, then the replenishment was successfully uploaded into the system. Look over the information and when you confirm it to be correct, press the “All Done” button.

Errors

There are a couple scenarios in which you may receive an error. Below you will see how to navigate around these errors for a successful replenishment.

Download Error Report

If you see “Download Error Report” where the “Download Success Report” is, then there may have been an error with your CSV. When you download the error report, you will see a CSV that is very similar to the file you just uploaded. The difference is that the final column will say something like “bin incorrect”, “expiration date incorrect”, or some other information you need to correct your CSV. Once you’ve corrected the CSV then you can upload it and you should receive the success report link.

Seller Did Not Add Lot Number, Expiration Date, or Unit of Measure

Earlier in this document I mentioned that your seller may have forgotten to upload the Lot Number, Expiration Date, or Unit of Measure. On this screen where the Lot #, Expiration Date, and UOM are written in blue, they will be in red if the seller did not upload this information. This is to alert you that you may need to add the Lot, Expiration, or UOM in your system manually.

11. Complete and Archive the Replenishment

After you press the “All Done” button, you will be redirected back to the Replenishments tab. There will be an alert in red saying, “The RepleID ________ was successfully completed and archived”. This means that the Replenishment was a success and you are ready to receive the items and put them away.

Processing the Replenishment

1. Open the Replenishment

Once you have processed all the SKUs, you need to navigate back to the replenishment ID. This can be done by following steps 1-3 in the above section.

Go to Inventory > Replenishments, filter by seller, and scroll down to locate the Replenishment ID. 

2. Evaluate the Replenishment

Once you've opened the Replenishment you will see two sections. The top section is a list of the SKUs you are still waiting to receive. In the bottom section there is a list of the SKUs you've already received.

In this case, we see that we've only received one SKU, 4121. The SKU came with a quantity of 200 in cases of 20, so that is 10 cases. We are still waiting on 100 units of the Tattif Taif SKU, 150 units in cases of 10 of the 4123 SKU, and 360 units of the 4263 SKU. 

3. Process the Replenishment

If everything looks correct, click "ALL DONE". 

4. Submit the Replenishment

You will be redirected to this screen. In orange you will see the SKUs that you received and in red the SKUs that you are still waiting on. Click "Submit".

5.  Replenishment Complete

You will be redirected back to the Replenishments Tab. In red you will see "The RepleID XXXXX was successfully completed and archived". You are done and can now process another replenishment.
