How to Handle Order Alerts (aka Those Strange Icons in the Orders Page)
There are several alerts that Shipedge will generate in order to keep you informed in case there’s a problem with one of your orders. These alerts will show you the problem and require your attention in order to be solved. They appear in the main screen above the orders list as a summary. (Press the alert icon to see all the orders with the same problem.) They also show up in the “Status” column of the order(s) that have a problem.
We recommend taking action as soon as an alert appears, as this will avoid delays on the shipment of your orders. Here are some examples of the different alerts.
Alert icons in the Orders view: Action required on your side!
This means that an order received in your store’s shopping cart did not go through and can’t be shipped until some information is corrected or updated. The main reason why an order didn’t go through is an entry error on one or more of the required fields of a new order.
The required fields are marked with a red star next to the field name and are the following:
- Shipping Address Required Fields: First Name * / Address 1 * / Zip / Postal Code *
- Order # * This number needs to be an unique order number. Shipedge will generate an error alert to prevent duplicate entries. If you enter an order manually and later comes through from your shopping cart, or it gets updated in your shopping cart after the order comes in, and you enter an Order # that already exists, Shipedge will not allow you to go to the next step. Also, this message will appear on the top left side of your screen: “The ORDER # Already Exist inside Orders. Please insert other number.”
The alert re-enters the order for you, but in a status invisible to the warehouse so that you can make changes. Any updates while editing your order will release the order back into the “Pending” queue.
Returned by Carrier Alert
When this alert appears on your home screen, it means that an order could not be delivered to the address provided. Perhaps the person does not live/work there any more, or a unit number is missing. Most of the time, the mail carrier will find a way to deliver, but if this is not possible, we pay for return service in the postage so the package comes back to us. It then gets re-stocked into your good inventory, and you get this alert. The alert re-enters the order for you but in a status invisible to the warehouse, so you can make changes. Any updates while editing your order will release the order back into the “Pending” queue.
Shipping Address Error Alert
When this alert appears on your home screen, it means that an order’s shipping address could not be validated by our labeling system and the warehouse can’t proceed with shipment until the address is edited or updated.
The shipping address required fields are:
First Name * => Enter the name of the person that placed the order or the name required by the customer. This name will appear on the shipping label on the package that your customer will receive.
Address 1 * => Enter the street name and house or building number as required by customer. This address will appear on the shipping label on the package that your customer will receive.
Zip / Postal Code * = Enter the zip code of the shipping address for the order.
This information needs to be valid and follow basic shipping standards. Sometimes customers make typing errors when entering their address, or they don’t update their shipping address on their accounts, so you might need to contact your customer to update this information. Once you edit what is needed, the order will go to “Pending” queue.
When this alert appears on your home screen, it means that one or more orders could not ship out because you don’t have enough inventory to ship the order. This alert will disappear as soon as you receive a Replenishment for the back-ordered items and the warehouse processes the Replenishment.
This alert is more of an informative one and will help you with inventory management.
This alert will appear when an order was entered manually on Shipedge and left unsubmited. To correct this, just enter the order, complete the steps, and submit.
This alert will appear when you put an order on hold so that you can edit it before the warehouse ships it.
